Privacy Policy

Personal Information

FaxMate® understands that our clients care how information provided by them is used and shared. We maintain a strict privacy policy, so that information provided by FaxMate® users remains private and confidential. The following notice describes our privacy policy.

We collect certain information from clients for billing and administrative functions. None of the information collected for these functions is provided to any outside party for any reason other than as required by law. Security measures are used to protect against loss, alteration, or misuse of data collected. These measures include the use of data encryption within our backups and use of shredders for our paper waste. Our faxes are received electronically and those faxes are only viewable by authorised staff members.

Faxes Sent & Received

Other than the temporary files that are created on and deleted via the standard SMTP email protocol for the delivery of emails containing faxes to clients, FaxMate® does not store copies of faxes on our servers; all faxes that are received by FaxMate® on behalf of clients are automatically converted to a PDF or TIFF document and then forwarded via email to those clients without any human intervention.  Of course, if for any reason FaxMate® or one our agents did gain visibility to the contents of any of your faxes, you can be assured we would keep any information strictly confidential.

Support & Maintenance

In the process of providing client support it may be necessary for our support staff or developers to review inbound or outbound fax documents. If this is ever done, it is done with customers full knowledge.

Account Management System Access & Passwords

FaxMate® clients are responsible for the privacy of their own Account Management System login information and passwords. We can reset account passwords on behalf of clients upon request in writing via email from a clients email address that we have associated with their account or via company / organisation letterhead.

Privacy Issues &/or Questions

Suspected incidents of unauthorized use of a client account should be reported to us by phone for immediate attention.

Agents

FaxMate® may at times employ other companies and individuals to perform functions on our behalf. Examples include fulfilling orders, delivering packages, sending postal mail and e-mail, removing repetitive information from customer lists, analysing data, providing marketing assistance, processing credit card payments and providing customer service. These agents may have access to personal information needed to perform their functions, but may not use it for other purposes.

Security Policy
